To-Do Lists: Tasks, Checklists and Training Content — See Who Is Where, Item by Item

No more asking one by one. Write the tasks once; members tick them off on their own card, and you see who is where — item by item.

Everything you expect from your members — onboarding steps, tasks, training modules, documents to collect — used to live scattered across emails and meeting notes. Now it lives inside the program: you write the items, members see and tick them on their program home, and behind the scenes you watch — live — who has started, who is in progress and who has not touched it at all. Not just for the mentoring flow; for anything that can be put in order. It guides, it never gates: nobody is ever blocked anywhere.

Build the list in minutes

A title, a rich description (bold/italic, links, bullets, images, YouTube) and as many items as you need. Every item can carry its own short description too.

Role-based checklists

A list can go to everyone, to mentors only or to mentees only. A mentor readiness list, a mentee onboarding path and program-wide tasks live side by side in the same program — nobody sees an item that is not theirs.

Deliver training step by step

Every item carries its own description, and that description is rich text: embed a video, link a document, add an image. The list becomes a training path people work through in order — and you can see who is on which module from the same screen.

Deadlines that respect cohorts

Set a fixed date, or say “14 days after joining”. With the second, every member’s deadline counts from their own join date — no re-dating by hand when a later group arrives.

Three states at a glance: completed · in progress · not started

Members no longer only say “done”; they can also say “I’m working on it”. So you can tell instantly whether your list is being ignored or simply is not finished yet. The three numbers always add up to your audience.

Which item are they stuck on?

Expand the row: completed / in progress / not started for every item, plus a progress bar. Instead of “194 people have not finished”, you can say “they are stuck on the availability step”.

From a number to the people, in one click

Click any number to list the people behind it, switch between the three states, and see who marked it and when.

Click a person, open the whole profile

Clicking a name opens their contact details, your program’s custom fields, their group and links in one modal — with their own state on that list, dates included, right at the top.

The numbers are never stale

Completion is never stored as a frozen flag; it is always derived from the list’s CURRENT items. Add an item to a live list and members who had finished will see it as open again — the editor warns you before that happens.

Genuinely easy on the member side

A card on the program home plus its own page. One click on the ring next to an item title marks it done. Descriptions sit behind a one-line preview for anyone curious. Members with unfinished work get a shortcut button with a red badge.

Never a barrier

A to-do list locks no page, redirects nobody and nags no one. The point is to show the way, not to apply pressure.

A few things you could build with it

  • A training path: “Module 1: Active listening · Module 2: Giving feedback · Module 3: Setting goals” — embed the video and link the handout in each item’s description, then see who is on which module from one screen.
  • Role-based checklists: mentors get “Read the guide · Watch the intro video · Pick your expertise”, mentees get “Complete your profile · Write your goals”. Both live in the same program and neither sees the other’s.
  • Onboarding tasks: “Complete your profile · Add your availability · Schedule your first meeting” — due 14 days after joining, so everyone who joins later gets their own 14 days.
  • Pre-meeting prep: “Write your goals · Share the agenda · Review previous notes” — put a template and links in each item’s description.
  • Collecting documents: “Sign the agreement · Upload your ID · Add your bank details” — spot exactly who is stuck on which item and write only to them.
  • Program wrap-up: “Upload the final report · Fill in the evaluation form · Download your certificate”. Closing week, on one screen.
